How we collect, use, and protect personal information across our logistics services.

This policy explains how Flezship handles personal information when you use our website, track a shipment, or send goods through our network.

1.Introduction

Flezship ("we", "us", "our") respects your privacy and is committed to protecting the personal information entrusted to us. This Privacy Policy explains what information we collect, why we collect it, how we use and share it, and the rights available to you.

This policy applies to our website, our tracking tools, our administrative systems, and to the personal information we handle in the course of arranging and delivering shipments. It applies whether you are a customer, a recipient of a shipment, a supplier, or a visitor to this website.

For the purposes of applicable data protection law, we act as the controller of the personal information described in this policy, except where we process information solely on the documented instructions of a business customer, in which case we act as a processor.

2.Information We Collect

We collect the following categories of personal information:

  • Contact and identity details, including full name, company name, postal address, email address, and telephone number for both senders and recipients.
  • Shipment information, including package descriptions, weight and dimensions, declared value, origin and destination, service selected, reference numbers, and delivery instructions.
  • Customs and regulatory information, including commercial invoices, tax and registration identifiers, licences, and any documentation required for export or import clearance.
  • Transaction and billing information, including charges raised, duties and taxes advanced, payment status, and correspondence relating to invoices.
  • Enquiry information, including the name, email address, subject, and message you submit through our contact form, together with any subsequent correspondence.
  • Account information for administrative users, including name, work email address, role, hashed password, and a record of actions taken within the system.
  • Technical information collected automatically, including IP address, browser type and version, device and operating system, referring pages, and the dates and times of requests.

We do not intentionally collect special categories of personal data, such as health, biometric, or political information. Please do not include such information in shipment descriptions or enquiry messages.

3.How We Use Your Information

We use personal information for the following purposes, each with a corresponding lawful basis:

  • To arrange, carry, track, and deliver shipments, and to communicate about their status. This is necessary for the performance of our contract with you.
  • To complete customs, export control, and security formalities, and to meet tax, accounting, and record-keeping obligations. This is necessary for compliance with our legal obligations.
  • To raise invoices, collect payment, and recover sums owed to us. This is necessary for the performance of our contract and for our legitimate interest in being paid.
  • To respond to enquiries submitted through our contact form or by email. This is necessary for our legitimate interest in responding to those who contact us.
  • To operate, secure, and improve our website and systems, including detecting and preventing fraud, abuse, and unauthorised access. This is necessary for our legitimate interest in protecting our business and our customers.
  • To send service updates and, where you have chosen to receive them, marketing communications. Marketing is sent on the basis of your consent or, where permitted, our legitimate interest, and you may opt out at any time.

We do not use personal information to make decisions producing legal or similarly significant effects about you by automated means alone.

4.Shipment Tracking and Visibility

Our public tracking page is designed to disclose only what is necessary to confirm the progress of a shipment. A person who enters a valid tracking number can see the shipment status, route and event history, service type, estimated delivery date, and the names of the sender and recipient.

Full addresses, telephone numbers, email addresses, declared values, and internal notes are not shown on the public tracking page. Tracking numbers are randomly generated so that they cannot be guessed sequentially, and tracking requests are rate limited to deter bulk querying.

5.Cookies and Similar Technologies

We use a small number of cookies and similar technologies, limited to what is necessary for the site to function:

  • Strictly necessary cookies, including the secure, http-only session cookie that keeps an administrative user signed in. These cannot be disabled without preventing the administrative area from working.
  • Security and integrity measures, including rate limiting based on IP address, used to protect our systems from abuse.

Most browsers allow you to refuse or delete cookies through their settings. Blocking strictly necessary cookies will prevent you from signing in to the administrative area, but does not affect public shipment tracking.

6.How We Share Information

We do not sell personal information. We share it only where necessary, and only with the following categories of recipient:

  • Transport partners, airlines, shipping lines, and last-mile delivery agents who need the information to collect, carry, and deliver a shipment.
  • Customs authorities, border agencies, security regulators, and customs brokers, where disclosure is required to clear goods or comply with the law.
  • Service providers who support our business, such as hosting, email delivery, and IT maintenance providers, who act on our instructions under written agreements.
  • Professional advisers, including lawyers, auditors, and insurers, where reasonably required.
  • Law enforcement, courts, and regulators, where we are legally compelled to disclose information or where disclosure is necessary to establish, exercise, or defend legal claims.
  • A purchaser or successor entity in connection with a merger, acquisition, or restructuring of our business, subject to appropriate confidentiality protections.

7.International Transfers

International logistics necessarily involves moving information across borders. Where a shipment travels between countries, the details required to route, clear, and deliver it will be transferred to parties in the countries of origin, transit, and destination.

Where we transfer personal information to a country that does not provide an equivalent standard of protection, we put appropriate safeguards in place, such as standard contractual clauses or an equivalent lawful transfer mechanism, except where the transfer is necessary for the performance of your contract or required by law.

8.Data Retention

We keep personal information only for as long as necessary for the purposes described in this policy:

  • Shipment and tracking records are retained for the period required to complete delivery, resolve any claim, and satisfy customs and tax record-keeping obligations.
  • Invoices and financial records are retained for the period required by applicable accounting and tax law.
  • Contact form enquiries are retained for as long as needed to handle the enquiry and any resulting relationship.
  • Administrative account and audit records are retained for the life of the account and a reasonable period afterwards for security and accountability purposes.

When information is no longer required, we delete it or anonymise it so that it can no longer be associated with an individual.

9.How We Protect Information

We maintain technical and organisational measures appropriate to the risk, including:

  • Encryption of traffic in transit using industry-standard transport layer security.
  • Storage of administrative passwords only as salted cryptographic hashes, never in plain text.
  • Session management using signed, http-only cookies that are not accessible to browser scripts.
  • Role-based access control, so that staff can access only the information their role requires.
  • Audit logging of administrative actions, and rate limiting of public endpoints to deter automated abuse.

No system can be guaranteed completely secure. If we become aware of a breach affecting your personal information, we will notify you and the relevant supervisory authority where required by law.

10.Your Rights

Depending on your location, you may have some or all of the following rights in relation to your personal information:

  • The right to be informed about how your information is used, as set out in this policy.
  • The right to request access to a copy of the personal information we hold about you.
  • The right to have inaccurate or incomplete information corrected.
  • The right to request erasure of your information where there is no continuing lawful reason for us to hold it.
  • The right to request restriction of processing, or to object to processing carried out on the basis of our legitimate interests.
  • The right to receive certain information in a portable, machine-readable format.
  • The right to withdraw consent at any time, where processing is based on consent.
  • The right to opt out of marketing communications at any time.
  • The right to lodge a complaint with your local data protection supervisory authority.

We will respond within the period required by applicable law, ordinarily within one month. Some rights are qualified, and we may be unable to erase information we are legally required to retain, such as customs and tax records.

11.Information About Shipment Recipients

Where you send us the details of a recipient, you confirm that you are entitled to provide that information to us for the purpose of arranging delivery, and that you have informed the recipient that their details will be shared with a logistics provider.

If you are the recipient of a shipment and wish to understand how your information is being used, you may contact us directly using the details at the end of this policy.

12.Children's Privacy

Our services are directed at businesses and adult consumers. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

13.Third-Party Websites

Our website may contain links to third-party sites, including those of partner carriers and customs authorities. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their privacy notices before providing information to them.

14.Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, technology, or legal obligations. The date at the top of this page shows when it was last revised, and the current version is always available here.

Where a change materially affects how we use your personal information, we will take reasonable steps to bring it to your attention before it takes effect.
